General Description:

Responsible for ensuring that the chapter makes information about certification available in a convenient form.  Ideally the certification chair would be a certified member.  The Committee will include at least a Chairperson and Co-Chairperson.

Goals, Objectives and Responsibilities:

  • Develop and maintain processes to encourage members to become certified, and to maintain their certifications once they are earned.
  • Work within the chapter to offer appropriate resources in support of certification efforts.  Such resources can include study groups and group overviews of certification requirements and ways to prepare for certification.
  • Assist members throughout the certification process.
  • Work with Communications and Social Media committee to recognize newly certified members.
  • Make every effort to attend, represent and promote the Chapter at all Chapter and HFMA nation events.
  • Other chapter duties or responsibilities specific to certification.

General Description:

The Membership Committee is the front door to the San Diego Imperial HFMA chapter, and the first point of communication with new members.  The Committee will include at least a Chairperson and Co-Chairperson.

Goals, Objectives and Responsibilities:

  • Welcome new members provide New Member Information Packet which includes: Welcome letter, benefit summary, an explanation of how to become involved in the chapter including upcoming meetings, and an Organization overview.
  • Renew and revise new member packet as required/needed.
  • Recruit mentors and match with new members for each event.  Report resulting Founders Points to Secretary.
  • Staff the membership desk at all Chapter education meetings and workshops.
  • Submit new member list to Communications and Social Media Committees. 
  • Develop chapter’s annual membership recruitment and retention plan, including activities that support chapter growth.
  • Oversee implementation of membership marketing plan, including writing letters to prospective members, securing prospective membership lists.
  • Chairperson is main contact with the Organization for membership reports and marketing information.
  • Liaison with Organization regarding maintenance of HFMA database.  Encourages members to notify HFMA with changes in their job, address, or other status and/or provides information to the Organization

General Description:

Coordinate the publication of the chapter newsletters.  Content should include information on Chapter education sessions, upcoming activities, reports from other committees, new member recognition, certification information, industry-related topics, or feature articles from members, along with the President’s message and list of sponsors. The Committee will include at least a Chairperson and Co-Chairperson.

Goals, Objectives and Responsibilities:

  • Establish publication and submission deadlines for the year.
  • Ensure publication of the newsletter is completed with timeframes.
  • Newsletters are distributed via electronic mail to the most recent HFMA membership.
  • Provide chapter updates, goals, accomplishments and encouragement for chapter activities
  • Personal notes recognizing any accomplishments or activities of individual members
  • Interviews of chapter members and healthcare leaders of interest
  • Develop material stimulating interest in membership, certification, chapter educational and social events.
  • Material stimulating interest in educational efforts inside and outside the Chapter area conducted by neighboring Chapters or by the Association.
  • Work with the Sponsorship Committee to prepare sponsor logos and company information for the website and newsletter sponsor spotlight.
  • Work with the Programs and Social Events Committees to promote programs and events throughout the year.
  • Work with the Certification Committee to promote the advantages of certification and recognize newly certified members.

General Description:

The Social Media Committee is responsible for the coordination of information to the chapter members posted on the chapter social media platforms. The committee works closely with the Programs and Communication Committees to ensure information is current and is an added resource to chapter members.

Goals, Objectives and Responsibilities:

  • Develop material stimulating interest in membership, certification, chapter educational and social events.
  • Provide communication and education for members through the chapter social media channels such as LinkedIn, Facebook, Twitter, etc.
  • Oversee Facebook, Twitter, and LinkedIn accounts.
  • Push out relevant content to membership through social media.
  • Respond to Social Media – based inquiries on behalf of the chapter.
  • Announcement of all scheduled Chapter events and other Chapter activities.

General Description:

Organizes no-host or sponsored social events for the chapter to encourage member involvement and create an environment for members to optimize networking. The Committee will include at least a Chairperson and Co-Chairperson.

Goals, Objectives and Responsibilities:

  • Ensure positive networking opportunities for members.
  • Work closely with the Program Committee in planning and coordinating social events,
  • Provides/coordinates ice-breakers at each social hour.
  • Supplies information and promotional material to the Communications and Social Media Committees for newsletter, website and social media posts.

General Description:

The Education/Program Committee is responsible for planning and coordinating all chapter educational sessions, including speakers and program write-ups. The Education/Program Committee will include a Chairperson and a Co-Chairperson.

Goals, Objectives and Responsibilities:

  • Plan and organize all webinars and in-person events for the year
  • Facilitate coordination of topics on monthly conference call
  • Obtain approval for any education program expenditures from the President before financially committing the chapter
  • Provide promotional material for use in education announcement at least eight (8) weeks prior to each webinar and/or in-person event.  Included should be:
    • Webinar/In-person event title, date, time, presenter(s) and a one paragraph session description.
  • To schedule webinars the Chairperson/Co-Chairperson should:
    • Schedule the webinar with OneHFMA in order to generate a link to send to membership for registration 
  • To schedule in-person events the Chairperson/Co-Chairperson should:
    • Coordinate the contract with location site for meeting space, lodging and food
    • Work closely with the Social Events Committee
    • Review and authorize payment of facility invoices 
  • To enable registration for the webinar/in-person event the Chairperson/Co-Chairperson should:
    • Provide link to the Communication Committee to place on website for membership to access for registration
    • Request event registration and marketing from OneHFMA
  • Prior to the event, Chairperson/Co-Chairperson should:
    • Ensure that each speaker has made appropriate travel arrangements and if travel is being reimbursed, ensure that reasonable travel is being assumed.
    • Provide Treasurer with copies of speaker contracts and payment arrangements
    • Identify Speaker’s AV needs.
    • Send communication to speaker confirming dates, locations and fiscal arrangement if applicable.
    • Ensure that speakers are registered for the conference
    • Request introductions/bios from speakers
  • To prepare for the day of the webinar the Chairperson/Co-Chairperson should:
    • Via testing process, ensure host and presenter are able to connect to audience for both audio and video
    • Manage registration volume to determine if further reminders should be sent to membership
  • Day of the webinar/in-person event, the Chairperson/Co-Chairperson should:
    • Host webinar and introduce presenter(s)
    • Act as liaison or point-person between chapter members and facilities during event.
    • Ensure that speaker’s AV needs are ready including laptop with presentations loaded
    • Prepare meeting room with handouts and evaluations.
    • Coordinate introductions of speakers at the meeting.
    • Wrap up sessions with comments.  If sessions run short, try to ask questions of the audience/generate discussion.
    • Lead group discussion on what topics they’d like to see more/less of at future meetings.  Document group ideas for conference planning.
  • After the event, Chairperson/Co-Chairperson should:
    • Send thank you note to presenter(s)

General Description:

Solicits sponsorship funds for the chapter which are used to cover the educational and social activities not covered thru members’ dues and educational program fees. This includes but is not limited to annual vendor sponsorship program, coordinating all activities around sponsorship/exhibitors for chapter sponsored events. The Committee will include at least a Chairperson and Co-Chairperson.

Goals, Objectives and Responsibilities:

  • Review the Vendor Sponsorship guidelines and levels of giving and submit any recommended changes to Chapter Board for approval.
  • Prepare sponsorship budget in coordination with President, President-Elect, Vice President and Treasurer.
  • Send sponsor information and logo to the Communication Committee to keep the sponsorship information current on the SDHFMA website.
  • Send sponsor spotlight information to the Communication Committee for the monthly newsletter.
  • Develop a list of potential Corporate Sponsors.
  • Continue to solicit sponsorship funds throughout the year.
  • Maintain a record of contacts and responses.
  • Follow up as needed to receive responses.
  • Inform prospective sponsors of the various levels of sponsorship available and recognition available at each level.
  • Recognize and thank sponsor before each webinar and/or in-person event.
  • Order and maintain Sponsorship Boards and ensure Boards are displayed at each educational meeting.
  • Ensure payment from each sponsor.
  • Work closely with the Program Committee in planning and coordinating all chapter educational sessions, including providing opportunities for sponsor speakers.
  • Assist in preparing chapter education/social program budget.
  • Make every effort to attend, represent and promote the Chapter at all Chapter and HFMA National events.
  • Other Chapter duties or responsibilities specific to sponsorship.

General Description:

The Founders Award program is a personal incentive program designed to encourage, monitor, and recognize individual volunteer involvement in HFMA. The Founders Awards Program Chair serves as a liaison to HFMA National and is responsible for program education and ensuring the reporting of points earned and the ordering of awards on behalf of the Chapter volunteer members. The Committee will include at least a Chairperson and Co-Chairperson.

Goals, Objectives and Responsibilities:

  • Provide Founders Award program education to the Chapter members which includes:
    • The four levels of award
    • How to earn points
    • Reporting and recording of points
  • Communicate Chapter and HFMA National volunteer opportunities.
  • Work with Chapter membership to ensure all eligible Chapter volunteer Founders Award points are reported and recorded throughout the year.
  • Review Founders Awards reporting in preparation of submitting to HFMA National.
  • Provide a verified Founders Awards Order Form and a Founders Award Recipient list to HFMA National by July 1st.
  • Make every effort to attend, represent and promote the Chapter at all Chapter and HFMA National events.
  • Other duties or responsibilities specific to the Chapter.
