Health systems, in particular, have variations across facilities that must be reconciled according to their internal requirements. At the same time, these organizations should strive for consistency where possible.

It is also important to consider who built and supports the software. Ideally, the people behind the solution should have deep experience working on Medicare and Medicaid cost reports as well as familiarity with working on hospital reimbursement teams. The software itself should be designed to provide users with key interactions at critical decision points to ensure that outcomes are appropriate for a hospital’s specific situation and issues.

Once organizations are comfortable using the software, they should be able to update and manage it on their own without having to involve a vendor for basic maintenance. However, vendors should always be willing to provide support for maintenance and updates until users are prepared to assume that role.

What is some advice you can give providers for a successful implementation of a new product or service?

Your vendor partner should be able to communicate what is needed to successfully onboard the technology. Make sure you fully understand their requirements and assign the appropriate staff members to facilitate each task.

Also, be sure to check that the implementation plan fully aligns with your organization’s unique needs. Changes to workpapers and calculations should improve your processes and not just reflect a vendor’s preference.
